POSITION: EXECUTIVE ASSISTANT
TYPE: Full Time
LOCATION: VANCOUVER, B.C. 

We are looking for an experienced Executive Assistant to join withinUs as an integral member of our team, providing support to our senior-level executives. This position requires a person who has excellent interpersonal skills and the ability to engage others professionally with confidence, and a high level of integrity. As a proactive problem solver with exceptional communication skills, meticulous attention to detail, you think strategically, are passionate about organization, and can be flexible and supportive in our friendly, fast-paced environment. 

THE OPPORTUNITY 

  • Provide senior-level executive and administrative support; work closely with the collective team to optimize priorities and deadlines
  • Proactively manage day-to-day tasks, larger projects and special projects as assigned
  • Coordinate meetings, arrange travel, track absences and vacations
  • Establish and maintain positive, productive working relationships with internal and external parties 
  • Anticipate executive team needs to ensure they are in the right place, at the right time,with the right information 
  • Provide administrative support (i.e., completion of expense reports, reconciliation of receipts, expenses, and preparation of correspondence or agendas)
  • Learn and contribute to a high growth, innovative company while gaining uniqueindustry insight
  • Enhance a strong team culture with your positive attitude and natural tendency to help others achieve success 

THE EXPERIENCE & QUALITIES YOU BRING

  • Post-Secondary Degree
  • 2-3+ years of experience supporting an Executive Team
  • Strong knowledge of industry-standard software programs such as Microsoft Suite and Google Drive; working knowledge or willingness to learn Slack
  • Experience with Shopify
  • Passion for health, wellness and fitness
  • Precision attention to detail, excellent time management and outstanding organizational skills 
  • Discreet and professional with the ability to manage highly confidential information
  • Strong communication skills: able to clearly convey thoughts, both in writing and verbally, attentive listener and able to ask questions for clarification and understanding
  • Strong gatekeeping skills yet highly approachable, friendly, and collaborative
  • Forward-thinking, adaptable and able to exercise good judgment when faced with lastminute change, ambiguity, and competing priorities
  • Valid driver’s licence and own vehicle preferred
  • Satisfactory completion of a criminal reference check & must be legally eligible to work in Canada
